Human Resources/Payroll Manager

Job Description
We are seeking a dynamic and experienced professional to manage our Human Resources and payroll functions. The Human Resources/Payroll Manager is responsible for the ongoing development, management, and implementation of the HR functions, as well as processing payroll on a semi-monthly basis. This position reports to the Chief Financial and Operations Officer (CFOO).
 
Essential Job Functions

Human Resources
  • Support the School’s hiring process; maintain job descriptions and coordinate job postings on various platforms
  • Manage the employee lifecycle, offer letter through separation; maintain personnel records in accordance with federal and state requirements and best practices
  • Successfully manage and oversee benefit programs (Health, Dental, Flexible Spending Accounts, Section 125, 403(b) Retirement Plan, STD, LTD, Life/AD&D and COBRA) for employees, including all employee communications, problem solving and claims resolution
  • Manage annual open enrollment for Health, Dental and Flexible Spending Account Plans
  • Ensure compliance with federal and state statutes/laws
  • Stay abreast of policy developments, national, state and local labor law, and best practices in independent schools; recommend new and updated HR policies to the CFOO, maintain and update Employee Handbook on an annual basis in collaboration with legal counsel
  • Assist Head of School and supervisors with documenting poor performance and violations of School policies and procedures, investigations, and other personnel matters
  • Conduct new hire orientations
  • Work directly with division and department directors to assist them in carrying out their responsibilities regarding personnel matters

Payroll
  • Manage timecard submission and time off reporting
  • Process and submit semi-monthly payroll using ADP Workforce Now and prepare semi-monthly 403(b) employee and employer contributions report for submission of funds to Plan custodian
  • Manage injury and illness reporting to workers’ comp carrier, including OSHA 300 logs
  • Manage annual Workers’ Compensation and 403(b) audits
  • Manage leave process for employees (PDL, FMLA, CFRA, SDI, PFL)
  • Maintain and manage personnel files and retention

Additional Responsibilities
  • Student supervisory duties (required of all administrators and staff)
  • Attend staff meetings and certain School events
  • Assist with other functions of the Business Office and annual audits as needed
  • Additional projects or tasks as assigned by the Head of School, CFOO, or Controller
 
Desired Experience, Qualifications, and Skills
  • Bachelor’s Degree; HRCI, PHRca, or SHRM certified preferred
  • Familiarity with California employment and labor laws
  • Minimum five years HR and payroll processing experience, preferably in a non-profit or educational setting
  • Proficient in ADP WorkforceNow, MS Office Suite, and Google G-Suite
  • Excellent interpersonal and communication skills, both oral and written
  • Detail-oriented, flexible and organized; demonstrated initiative
  • Strong collaboration and teamwork skills, while also able to work independently
  • Ability to adjust priorities and meet deadlines
  • Ability to maintain strict confidentiality

Schedule and Hours
This is a full-time, exempt position. Standard hours are 8:30 a.m. – 5:00 p.m. Monday – Friday.
 
Compensation/Benefits
The anticipated salary range the school reasonably expects to pay candidates for the full-time position of Human Resources/Payroll Manager is $95,000 to $110,000, depending on factors such as experience and education.
